Duties and Responsibilities

PTO President/Co-presidents

  • Sets the agenda, calendar, and presides over all monthly PTO meetings & executive committee meetings
  • Solicits agenda items & acts as contact person for anyone suggesting an agenda item.
  • Supports all Committee Chairs and scheduled events.
  • Serves as PTO spokesperson at school events (e.g. Kindergarten tea, open house, etc.).
  • Meets and welcomes new families.
  • Shares best practices and network with other schools’ PTO officers.
  • Liaison between the PTO and principal and staff.
  • Establishes relationships with local businesses and organizations.
  • Monitors monthly budget reports.
  • Approves un-budgeted funding requests at $100.00 or less.

PTO Treasurer

  • Pays all bills and issue all checks for reimbursement.
  • Makes all bank deposits.
  • Reconciles monthly bank statements.
  • Maintains general ledger for all accounting transactions.
  • Provides financial reports for monthly meetings.
  • Prepares yearly budget with input from board members.
  • Supports events:
    • Organizes and distributes change boxes as needed for all events needed (e.g. spring fair, auction).
    • Collects money at end of events and prepare deposit for bank. Photocopy checks before depositing.
    • Keeps receipts/records or payment and deposits organized by event.
  • Pays childcare provider at monthly PTO meetings.

Recording Secretary

  • Prepares sign-in sheet for allPTO meetings, collect sheet following meeting adjournment.
  • Records and transcribes monthly meeting minutes.
  • Attends monthly Executive Board meetings and record minutes.
  • Prepares PTO correspondence as needed (e.g. thank you notes)
  • Coordinates with school Volunteer Coordinator to maintain list of approved volunteers.

PTO Communication Director

  • Composes and publishes email content, Facebook posts, web updates, backpack flyers and other collateral as needed
  • Keeps email list and other contact/mailing information up to date. Includes inputting new email names after events
  • Provides performance reporting to the board on web traffic, email performance and FB engagement
  • Moderates social networks
  • Provides assistance on messaging strategy for any PTO related collateral
  • Provides oversight to brand standards on templates and collateral developed
  • Partners with OAES administration for robocalls and front of the school signage content

Community Director

  • Guides and coordinates all community building events such as the Watermelon Welcome, Garden Build Days, etc.
  • Recruits chairpersons as needed.
  • Evaluates bringing in community discussions, for example Boys to Men and Hardy Girls, Healthy Women.
  • Works with President and VP to support the teacher appreciation efforts.
  • Attends monthly PTO meetings and provide updates and information.
  • Provides a year-end report to your successor.

Enrichment Director

  • Oversees the process of bringing programming into the schools through the enrichment coordinators, to enhance the curriculum and/or provide cultural insight.
  • With school principal, surveys teachers/staff to determine the best types of enrichment programming that will enhance class curriculums. (Continue to support Family Science Night).
  • Determines programming accessibility/scholarships
  • Works with Communication Director to update calendar of enrichment events on PTO website.
  • Attends monthly PTO meetings and provide updates and information.
  • Provide a year-end report to your successor.

Nominating Director

  • Serves to facilitate the nominating and slating process of qualified candidates for election to PTO leadership positions.
  • Works with committee to appoint appropriate leadership, which will further the goals of the PTO mission, vision and strategic plan, matching organizational needs, and individual strengths to produce a leadership team.
  • Responsible for the development of all annual Nomination Forms and slates.
  • Helps to develop, communicate and evaluate clear policies and procedures for nominating.
  • Develops and implements the committee work plan
  • Requirements: Must be knowledgeable about PTO purpose, structure, history and nominating process and policies. Must have past PTO Nominating Committee experience.

Volunteer Director

  • Recruits volunteers for PTO related events and activities through website signups and an annual fall backpack mail signup sheet.
  • Coordinates volunteer messaging with Communications Director.
  • Maintains a database of volunteers.
  • Works with PTO directors to assign volunteers to support PTO events and activities such as: the Bids4Kids annual auction, Designing Women event, MLK celebration, Spring Fair & Bike Rodeo.
  • Ensures volunteers are appropriately acknowledged and thanked.

Finance Committee
Contact:
The Finance Committee meets monthly to discuss the short and long-term goals of the PTO and how to achieve these goals within the strategic plan and budget. Suggestions are discussed and brought to the PTO Board and membership as necessary for further review. These meetings are fun and interactive, and generally last about one hour. To join the Committee, please contact Chip Gavin.

Nominating Committee

Calling all members of the OAE community, the Nominating Committee is in need of volunteers! We are a group of parents and guardians that form the leadership slate for next year’s PTO. This is a great way to get involved with minimal commitment- approximately one meeting a month from January to April.
